For most teams, university sports transport comes down to one afternoon a week: BUCS Wednesday. Here's how we handle it for the unions we work with, and what we'd want from you if you're the one booking the away travel.
Who do we work with on university sports travel?
We work with the students' unions and athletic unions at six universities: University of Birmingham, University of Warwick, Loughborough University, University of Wolverhampton, University of Leicester and University of Northampton. The unions make the bookings. On a typical Wednesday during the season, we handle 50 to 100 vehicles booked for university sports fixtures.
The vehicles come from licensed local operators across our network, so no single depot has to find that many minibuses and coaches for one afternoon.
All six are Midlands universities. If a club or society also needs a coach outside the fixture programme, see our pages on coach hire in Birmingham and Leicester coach hire.
What is BUCS Wednesday and why does it need so much transport?
Wednesday is the main fixture day for most BUCS team sports, with fixtures held on Wednesday afternoons and evenings. So one university can have lots of clubs leaving campus within a few hours of each other, heading to different venues. Some are a short hop away. Others are at the far end of the country.
British Universities and Colleges Sport (BUCS) calls itself the National Governing Body of university sport in the United Kingdom. Its figures for the 2024–25 season give a sense of scale: 24 sports, 825 leagues, 5,022 teams and 25,375 scheduled league and knockout fixtures (BUCS, Our Programme).
Distance depends on the league. Regional conference leagues run in five areas (Scottish, Northern, Midlands, Western and South Eastern), so trips are shorter. National and Premier leagues mean travel across the UK. The University of Bedfordshire's sport FAQs explain the Wednesday set-up well if you're new to it.
How are large fixture-day bookings handled?
However many clubs are travelling, the union deals with one contact. Pick-ups are staggered around each kick-off, and each vehicle is sized to the party actually travelling. Quotes can cover a single fixture or the whole season.
For union staff, the practical difference is that you aren't ringing round separate firms for every club. Say one club needs a 12:30 departure and another doesn't leave until 3pm. Those run as separate, staggered pick-ups, handled by the same contact. Volleyball doesn't need a 53-seat coach, and paying for empty seats every week adds up over a season.
Long national league days need more planning; see drivers' hours below. It's the approach we take for sports event coach hire generally, fitted around the university fixture calendar.
Send us your fixture list. Add squad sizes and pick-up points and we'll come back with a free, no-obligation quote.
Which vehicle suits each squad?
Size the vehicle to the full travelling party, not the team sheet. Count players, subs, coaches, the physio and any committee members coming along, then think about kit. A minibus covers smaller squads. A midicoach covers most single team sports with staff. A full-size coach makes sense when two or more clubs are going to the same venue.
These are general examples, not specific bookings.
| Travelling party | Vehicle | Typical use | Kit |
|---|---|---|---|
| Up to 16 | 8–16 seat minibus | Badminton, tennis, squash, small squads | Check space if bags or equipment are bulky |
| 17 to 32 | 16–32 seat midicoach | A rugby XV with replacements and staff; football or hockey squads | Tell us the number of kit bags and any large items |
| 33 to 53 | 48–53 seat coach | Two or more clubs going to the same venue | Underfloor luggage space for kit bags |
| 54 to 72 | 61–72 seat large coach | Several squads, or squads plus supporters, to one venue | Underfloor luggage space for kit bags |
Sharing a coach between clubs only works if they're leaving and coming back at roughly the same time. If the women's firsts finish two hours after the men's seconds, two smaller vehicles usually beat one big one.
Our 2026 coach hire price guide lists half-day hire from £230 for an 8–16 seat minibus and £450 for a 48–53 seat coach. It also covers VAT: most hire in vehicles carrying 10 or more passengers is zero-rated.

What should SU and AU staff prepare before booking?
Start with the fixture list, with venue postcodes and start times. Then, for each club: how many are travelling, what kit is going, where on campus they'll be picked up, roughly when they'll finish, any accessibility needs and a mobile number for the day. Squad sizes matter most: they decide whether a club gets a minibus or shares a coach.
The checklist we'd work from:
- Fixtures. Date, opponent, venue name, full postcode and start time.
- Travelling party. Players, subs, coaches, physio and anyone else, per club.
- Kit. Number of kit bags, plus anything awkward such as hockey bags or medical kit.
- Pick-up points. Where on campus each club boards, and whether two clubs can share a pick-up.
- Return time. A realistic one, including the warm-down and any planned stop for food.
- Accessibility. Wheelchair users, para-sport athletes, anyone with mobility needs.
- On-board rules. Policies on food, drink and alcohol vary by operator and vehicle, and your union will have its own travel policy. Raise anything you need clarified when you enquire.
- Contacts. A name and mobile for each club, plus someone at the union.
- Invoicing. Ask at quote stage how invoicing works and whether club cost codes can go on it.
If you've got quotes from elsewhere too, our guide to comparing coach hire quotes goes through what to check line by line.
How do drivers' hours affect long away trips and evening fixtures?
They cap how far one driver can take a squad and still bring it back the same day. Private hire in vehicles with 9 or more passenger seats normally falls under the assimilated rules: no more than 9 hours driving a day (10 hours twice a week), and breaks totalling at least 45 minutes after no more than 4.5 hours of driving.
There's a weekly cap of 56 hours driving too. GOV.UK has the detail: drivers' hours for passenger-carrying vehicles and the assimilated (EU) rules.
Where this bites is National and Premier league away fixtures. A long drive out, an evening kick-off and a long drive home can go past what one driver is allowed. Then the trip needs a second driver or a split plan. Give us the kick-off time and an honest finish time when you ask for a quote, and the plan can be built around the rules from the start. There's more in our article on UK coach hire regulations.
How can you check a coach or minibus operator?
Look for a PSV operator licence. Anyone operating a vehicle for hire or reward that can carry 9 or more passengers needs one, and GOV.UK's operator search lets you check. It's also reasonable to ask about insurance, and about DBS checks for drivers if your group needs them.
- PSV operator licences (GOV.UK guidance)
- Find vehicle operators (GOV.UK search)
Accessibility is worth raising early. The Public Service Vehicles Accessibility Regulations 2000 (PSVAR) cover vehicles carrying more than 22 passengers on local and scheduled services. Most private group hire sits outside that, so don't assume a vehicle is accessible. If wheelchair users or para-sport athletes are travelling, say so when you request a quote.

University sports transport: frequently asked questions
Is a driver included with every vehicle?
Yes. Every coach and minibus we arrange comes with a professional driver, so nobody in the squad or the union office has to drive.
What happens if a fixture changes at short notice?
Tell us as soon as you know. Fixtures do get moved, and the earlier we hear, the more room there is to change the vehicle or the timings. When you get your quote, ask how changes and cancellations are handled, so the union knows where it stands before the season starts rather than on the Wednesday.
When should we send our fixture list?
As soon as fixtures are confirmed. The busiest Wednesdays are much easier to plan when we can see them coming. If fixtures come out in batches, send each batch when you get it rather than waiting for the complete list.
Can you arrange fixture travel for universities outside the Midlands?
Yes. Our operator network covers the whole UK, so a union anywhere can send a fixture list and ask for a quote on one fixture or the season.
